Old Newspapers Get New Life on CDs

INDUSTRY:
Local Library

COMPANY:
Salem South Lyon District Library

This Southeast Michigan district library had a newspaper problem. In the past, they had converted their old newspapers to microfilm. But, their microfilm reading equipment was getting old, and they wanted to be able to utilize already installed PCs to access the newspapers. As part of a cooperative project, Lyon Township and the South Lyon Historical Society wanted to reap the benefits of the same solution. All wanted easy access to the files by the publication date of the papers.

THE CHALLENGE:
The library wanted a more modern solution to store their old papers, one that would allow them to easily access the data with equipment they already had and to share the same data with other organizations

THE APPROACH:
After meeting with the library officials, Graphic Sciences designed a simple solution for Salem South Lyon that met all of their needs. They decided to keep their previously filmed newspapers on film but wanted the new solution going forward.

THE SOLUTION:

Once a year, Graphic Sciences scans all the South Lyon Herald issues for the previous year. Instead of shelves full of papers, they now have only a few CD’s that hold a year’s issues of the Herald. Retrieval software is built into the CDs themselves. Now, it’s as easy as inserting a disk to get access to a whole year’s worth of the Salem News. Copies of the CDs are provided so that the library can share the data. In addition, an archival film backup copy is created.

THE BENEFITS:
Both library users and the librarians can easily handle the CDs using the PC equipment already in place. Each CD includes the software necessary to access the newspapers by date and to either read them on line or print them. Viewing on line is enhanced by the ability to enlarge the type for those readers that need that feature. The print quality is also improved over the old microfilm because of the high quality of the digital image and the digital printer. Since a whole year’s worth fits on a few CDs, the storage space needs are minimal. The library sells copies of the CDs to the Township and the Historical Society and those groups also get all the benefits of the new digital image storage. This cooperative teaming between these organizations has provided all of them with access to the information they want while only one of them interfaces with GSI. This is a highly efficient and effective solution for the library that required no equipment or software purchases, provides for easy access and sharing capabilities and provides a backup archival copy of the newspapers as well.
