State of Michigan Selects Graphic Sciences, Inc. for Microfilm Conversion and Storage Services

Graphic Sciences, Inc. has been selected by the State of Michigan, Department of History, Arts and Libraries to provide conversion services for departments and agencies of state government that may have the need to convert paper based information to microfilm. The state has legal responsibility to insure the correct retention of many records and microfilm is the best medium for enduring storage and a highly practical solution to the problem of permanent record storage.

The State of Michigan, Department of History, Arts and Libraries, Records and Forms Management Division solicited responses from selected vendors to provide microfilm conversion services that may be used by departments and agencies within the State who have a qualified need for such services. The contract calls for the selected vendor to be in a position to convert virtually any paper based document - from a note sized page to a full sized engineering drawing - to microfilm format. Additionally, the selected vendor must be able to provide indexing services for the film images when required. In some cases, the microfilm will be used as the permanent copy of the official state records. In other cases, the microfilm will be used as the active record in lieu of the original paper documents. In either case, microfilm will meet the requirement for permanent storage of the documents.

The services offered to the Department of History, Arts and Libraries, can be made available to local government units through the Records and Forms Management Division.

Based on the quality of the responses and the pricing offered to the State, Graphic Sciences, Inc. was awarded the contract. The term of the contract is three years. In this period of time, it is believed that many State agencies and departments will use the services offered in this contract and incorporate microfilm storage solutions as a part of their business operations when permanent record retention is a requirement.
